Our client is part of a very successful automotive dealership.  They are in the “Buy Here – Pay Here” segment where they help people with credit challenges who cannot finance a vehicle through their bank.   This segment is responsible for over 3,000,000 sales per year in the United 
States  and is growing.     Office Manager is responsible for day-to-day management of the business office, bookkeeping, enters  vehicle information,  accounts  payable invoices  and  bank  depositsupdates  and gathers all payroll related information, runs daily, weekly and monthly reports, maintains vendor accounts, petty cash, cashiers and takes payments when needed, office and other supplies. 
 
ESSENTIAL  DUTIES AND RESPONSIBILITIES
Daily
-Enters all purchased vehicles into Vehicle Inventory module.
-Sets up and modifies vendor account information as necessary.
-Enters all accounts payable invoices into AP system for eventual resolution.
-Runs reports to complete the Daily Account Reconciliation report.
-Enters bank deposit amounts into Bank Reconciliation for each company as appropriate.
-Reconciles bank statement.
-Completes the ‘Daily Checklist’ for ensuring accurate cash and financial statement balances to the owner.
Weekly
-Generates AP check run on appropriate payment priorities and signatures for payment.
-Gathers and updates all payroll related information.
 
Monthly
-Completes ‘Monthly Checklist’ for each operating module to generate monthly financial statements.
-
Updates  all  payroll  activity  and  enters  information  to  appropriate  general  ledgers  for  proper expense classification.
-Reviews sales tax information for propriety and remittance to the State.
-Orders office and other supplies as needed.
 
QUALIFICATIONS
 - Office Management experience
- Ability to lead 2 office personnel
- ability to interact with all levels of management
- Excel spreadsheet experience
- Ability to read, write and interpret reports
